Terms of service

By accessing or using the Service, you agree to these Terms and acknowledge our Privacy Policy. If you do not agree, do not use the Service.

1. Eligibility and accounts

To create a Game Hero account, you must be of legal age to form a binding contract with Game Hero, or have a parent or legal guardian who agrees to these Terms on your behalf and is responsible for your use of the Service. You must provide accurate information, keep it current, and use only an email address you are authorized to access. You are responsible for activity under your account and for protecting sign-in links, verification codes, device access, and team invite links.

Tell us promptly at hello@gamehero.app if you believe your account or a team link has been accessed without authorization. We may require you to verify your identity before restoring access or acting on a sensitive request.

2. Teams, roles, and minors

Team permissions depend on your role. Managers can maintain team details, rosters, schedules, invitations, and certain member information. Coaches, parents, guardians, and players may have more limited access. Permissions shown in the app do not replace your organization’s own policies or legal responsibilities.

Players who are minors are usually added to a team by its manager, and a parent or legal guardian manages their player profile and acts on their behalf. If you add information about a player or another person, you represent that you are authorized to provide it and to allow Game Hero to process it as described in our Privacy Policy. Team managers must obtain any consent required for roster data, contact details, or photographs they upload, and should add a photo of a minor only with the permission of that minor’s parent or legal guardian.

You may use the Service only for teams and organizations you are authorized to manage or join. A team manager is responsible for assigning appropriate roles, removing people who should no longer have access, and rotating a team invite link if it is shared beyond the intended audience.

3. Acceptable use

You may not use the Service to:

• break the law, violate another person’s rights, or breach a duty you owe to someone else;
• harass, threaten, exploit, groom, abuse, or endanger any person, especially a minor;
• post hateful, sexually explicit, violent, deceptive, defamatory, or otherwise harmful content;
• share sensitive personal information that is not reasonably needed for team coordination;
• impersonate someone, misrepresent your affiliation, or access an account or team without permission;
• send spam, unsolicited promotions, or communications unrelated to the team;
• upload malware or interfere with, probe, reverse engineer, or evade the security of the Service;
• scrape, harvest, or use roster or Service data to build profiles, contact lists, or competing datasets; or
• use automated means to access the Service except through interfaces we expressly provide.

There is no tolerance for objectionable content or abusive users. In the app, you can report any message in team chat or a direct message (press and hold it, then choose Report), and block any person so you no longer see their messages and neither of you can start a direct message. Blocks can be undone from the Me tab. We review every report within 24 hours and may remove content, remove a person from a team, or suspend or close an account that breaks these Terms.

If you see content or behavior that may violate these Terms or put someone at risk, report it in the app or contact us. For an emergency or immediate safety concern, contact local emergency services first.

4. Your content

“Your Content” means information or material you submit to the Service, including roster entries, schedule data, photos, messages, announcements, and team branding. You retain ownership of Your Content. You grant Game Hero a worldwide, non-exclusive, royalty-free license to host, copy, process, display, transmit, resize, and otherwise use Your Content only as reasonably necessary to operate, secure, and improve the Service and comply with law. This license ends when the content is deleted from our active systems, except where it remains in shared team records, backups, or must be retained for legal or security reasons.

You represent that you have the rights and permissions needed to submit Your Content and grant this license. You are responsible for Your Content and for deciding whether the Service is appropriate for it. Do not upload medical, financial, government identification, or other highly sensitive information.

We may remove or restrict access to content that violates these Terms, creates a safety or legal risk, or interferes with the Service. We do not undertake to monitor every team or communication.

5. Schedules, RSVPs, and notifications

Game Hero helps teams coordinate, but schedules, locations, arrival times, RSVPs, delivery indicators, and notifications may be entered by users or affected by network and third-party systems. They can be delayed, incomplete, or incorrect. Confirm critical details directly with your team. The Service is not an emergency notification system and should not be used for urgent health or safety communications.

By providing an email address or enabling notifications, you agree to receive transactional messages about your account and teams. You can manage optional team notifications in the Service and push permission in device settings. We may still send essential account, security, legal, cancellation, or critical schedule messages where permitted by law.

6. The Service and third parties

We grant you a limited, personal, non-exclusive, non-transferable, revocable license to use the Service in accordance with these Terms. Game Hero and its licensors own the Service, including its software, design, trademarks, and other content, excluding Your Content.

Some features interact with third-party services such as email providers, push-notification platforms, device app stores, calendars, and maps. Their terms and privacy practices apply to your use of their services. We are not responsible for third-party services we do not control.

We may change, add, or remove features and may establish reasonable usage or technical limits. If we later offer a paid feature, its price, billing period, cancellation terms, and any additional terms will be shown before purchase. We will not charge you without your authorization.

7. Suspension, termination, and account deletion

You may stop using the Service at any time. You can delete your account from More → Delete account in the mobile app. Account deletion anonymizes your profile and removes your access; shared team history may remain in non-identifying form. If you are the only manager, teams you manage may be archived. A team manager may remove you from that team without deleting your account.

We may suspend or terminate access, remove content, or take protective action if we reasonably believe you violated these Terms, created risk for users or the Service, failed to comply with law, or if continued operation is no longer practical. When reasonable, we will give notice and an opportunity to address the issue. Sections that by their nature should survive termination will survive, including ownership, disclaimers, limitations of liability, indemnity, and general terms.

8. Disclaimers and limitation of liability

To the fullest extent permitted by law, the Service is provided “as is” and “as available.” Game Hero disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, title, non-infringement, availability, accuracy, and security.

To the fullest extent permitted by law, Game Hero and its affiliates, officers, employees, contractors, and licensors will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for loss of data, profits, goodwill, or opportunities, arising from or related to the Service, even if advised that such damages are possible.

To the fullest extent permitted by law, the total liability of Game Hero for all claims arising from or related to the Service will not exceed the greater of $100 or the amount you paid Game Hero for the Service during the 12 months before the event giving rise to the claim.

Some jurisdictions do not allow certain disclaimers or limitations, so some of the above may not apply to you. Nothing in these Terms limits rights or liability that cannot legally be limited.

9. Indemnity

To the extent permitted by law, if you use the Service on behalf of a team, club, or organization, you and that organization will defend, indemnify, and hold harmless Game Hero and its affiliates, officers, employees, and contractors from third-party claims and reasonable costs arising from Your Content, your misuse of the Service, or your violation of these Terms or another person’s rights. This obligation does not apply to the extent a claim results from Game Hero’s own unlawful conduct.

10. General terms

These Terms and the Privacy Policy are the entire agreement between you and Game Hero about the Service. If a provision is unenforceable, it will be limited to the minimum extent necessary and the remaining provisions will remain in effect. Our failure to enforce a provision is not a waiver. You may not assign these Terms without our consent; we may assign them as part of a reorganization, financing, or transfer of the Service.

These Terms are governed by the laws of the State of New Hampshire, without regard to conflict-of-laws rules. Unless applicable law requires otherwise, disputes will be brought in the state or federal courts located in New Hampshire, and you and Game Hero consent to their jurisdiction.

11. Changes to these Terms

We may update these Terms as the Service changes. We will post updated Terms here and revise the effective date. If changes materially affect your rights, we will provide additional notice when required. Your continued use after updated Terms take effect means you accept them; if you do not accept them, you must stop using the Service.
